Officebooking offers various options for managing self-service settings for your end users, for example, organisation-wide settings for booking rules and notifications. There are also other restrictions that can be configured at usergroup level, location level, and asset level.<\/p>\n

Where to find self-service settings:<\/strong><\/h3>\n
    \n
  1. Navigate to ‘Settings’<\/strong> in the OfficeAdmin menu.<\/li>\n
  2. The page opens automatically on the ‘General’<\/strong> tab. Some important settings are discussed below.\n
      \n
    • Recurring reservations enabled for users: <\/strong>Allow all end users to create recurring reservations. Enabled by default for superusers, location managers and admins.<\/li>\n
    • Cost centre mandatory:\u00a0<\/strong>The Cost centre field in reservation forms lets you assign a cost centre to a reservation, useful when booking services or diverting workspace costs to different departments. Enabling this setting requires users to enter a cost centre when making a reservation via the web app, mobile apps or Outlook Add-In. Note: if you have integrations that automatically sync reservations from another system, making Cost centre mandatory may cause those syncs to fail, since incoming reservations won’t include a cost centre value.<\/li>\n
    • Restrict reservations within opening hours:\u00a0<\/strong>Enable this setting to ensure that users can only make reservations during opening hours. When enabled, users will not be able to create reservations outside of the defined opening hours for the specific location.<\/li>\n
    • Cancellation span: <\/strong>Specify the maximum number of hours before the reservation starts during which users are allowed to cancel their reservation. This setting determines how far in advance a reservation can be cancelled and can be tied to a cancellation fee.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n

      How to find email notification settings:<\/strong><\/h3>\n<\/div>\n<\/div>\n
        \n
      1. Navigate to \u2018Settings\u2019<\/strong> in the OfficeAdmin<\/strong> menu.<\/li>\n
      2. Select the ‘Notifications and emails’<\/strong> tab. Review the available settings down below.\n
          \n
        • Reservation reminder: <\/strong>Enable this setting to send a reminder to your users the day before their reservation. This reminder will be sent the day before the reservation at 8:30 am.<\/li>\n
        • Check-in:\u00a0<\/strong>Enable this setting to send a check-in reminder to your users 5 minutes before their reservation starts. If the user has not checked in, another reminder will be sent 5 minutes after the reservation starts. If the user has already checked in before the reservation starts, no reminder will be sent.<\/li>\n
        • Confirmation:\u00a0<\/strong>Enable this setting to send an email to the end user and Location Manager when a new reservation is made.<\/li>\n
        • Cancellation:\u00a0<\/strong>Enable this setting to send an email to the end user and Location Manager when a reservation is cancelled.<\/li>\n
