From Data to Desk for Trafford Council

Challenge
To gain accurate insight into workspace usage and support efficient space planning.
Solution
A data-driven study utilising smart sensor technology, deployed in record time with minimal impact on daily operations.
Result
Actionable insights to inform future space optimisation and workplace strategies.
Real estate utilisation study
Like many organisations adapting to new ways of working, Trafford Council faced the challenge of optimising office space while ensuring efficient resource allocation. Officebooking helped provide insights in actual space utilisation, which became essential.
Real-time data collection
Trafford Council partnered with gbpartnerships consult and Officebooking to conduct a focused 14-week workspace utilisation study across its two main office sites. Over 1,300 smart sensors were deployed to monitor real-time desk and meeting room usage, with the goal of capturing accurate occupancy data to inform space planning and operational decisions.
Data objectives
The project aimed to identify usage patterns, improve space allocation, and support flexible working models aligned with hybrid trends and sustainability goals. Data showed midweek occupancy peaks and reduced attendance on Mondays and Fridays, offering valuable insight into employee working habits. Meeting room analysis revealed mismatches between availability and demand.
Findings
Findings from the study are supporting Trafford Council in optimising desk layouts, refining meeting space capacity, and guiding future space management strategies. By leveraging live data, the Council is building a smarter, more agile workplace that enhances user experience, promotes efficiency, and ensures workspaces are aligned with evolving organisational needs.
