Emails play a key role in the booking and check-in flow within Officebooking. They can act as a formal confirmation of a reservation, a reminder to confirm or cancel, or a notification to keep you and your visitors on track.

We’re making a series of improvements to both the design and functionality of our email services, as well as giving you more control over timing and settings.

What’s New

Calendar event integration
You can now add a reservation confirmation directly to your calendar.

  • By default this feature is turned off for all users.
  • Each user can enable it in their personal preferences within the web app.
  • Admins can set this feature for users individually, in bulk, or as a default for all new users.

Visitor emails redesigned

All visitor-related emails have been updated to align with our new design standards.

Send on behalf

When set in Company settings and supported by your organisation, emails can be send on behalf of an organisation or a user. For example, when the main sender of an email is ‘location_manager@mycompany.com’ Officebooking should be enabled to send on behalf of your organisation by adding us to your SPF records or configure DMARC/DKIM. We’ve set up a knowledge base article on how to configure this and add us to your safe senders list.

Custom reminder timings
Soon, you’ll be able to adjust when reminder emails are sent, including:

– Reservation reminders

– Check-in reminders

– (New!) Visitor reminders

What We’re Working On

We’re taking a phased approach to upgrading our email services. Upcoming improvements include:

User-level email controls
Enable or disable specific emails per user rather than only at company level. You’ll even be able to send tailored messages to individual users.

Custom branding options
Personalise emails by adding your own logo, footer, and signature, ensuring a consistent brand experience.
