Using stages to manage location visibility
Stages allow you to control the visibility and lifecycle of a location within Officebooking. By assigning a stage, you can safely configure and test a location before making it available to users, or hide it when it is temporarily or permanently taken out of use.
Stages determine who can see a location and where—across OfficeAdmin, the web app, and the mobile apps.
Currently, Officebooking supports four location stages:
- Active
- Draft
- Hidden
- Blocked
Availability
Location stages are currently available for Business Plus and Enterprise subscriptions only.

How stage visibility works
Each stage affects how and where a location is visible:
Active
The location is visible to all users in OfficeAdmin, the web app, and the mobile apps.
Draft
The location is always visible in OfficeAdmin.
It is also visible in the web app and mobile apps for administrators and location managers.
Regular users cannot see the location.
Hidden
The location is visible only in OfficeAdmin.
It is hidden for all users in the web app and mobile apps.
Blocked
The location is hidden. Visitor registration will not work, neither will any external registrations or integrations be allowed to register reservations, check in users or visitors.
Locations are always visible in OfficeAdmin, regardless of their stage.
Changing the stage of a location
To update the stage of a location:
- Navigate to officeAdmin
- Go to Locations
- Select the location you want to update
- Click Edit
- Locate the Select stage dropdown
- Choose the desired stage:
- Active
- Draft
- Hidden
- Blocked
- Save the location
- The updated stage takes effect immediately and the location’s visibility is updated in the web app and mobile apps.
When to use each stage
- Draft
Use this stage when setting up or modifying a location. New locations are set to Draft by default. This allows administrators and location managers to review and test the configuration before rollout. - Active
Use this stage when the location is ready for daily use and should be visible to all users. - Hidden / Blocked
Use these stages when a location is temporarily or permanently taken out of use. The location remains available in OfficeAdmin for reporting and analytics, but is no longer visible to end users.
