As soon as the Visitor registration module has been activated within your organization, an extra menu item ‘Visitors’ will appear in the menu of the mobile app. As an employee, you can register a visitor or change a registered visitor via this screen.
- Navigate to ‘Visitors’ in the mobile app menu.
- To register a new visitor, select the ‘New’ button.
- Now a new screen opens to enter the details of your visitor:
Title: give the visit a title. This field is not mandatory.
Name (mandatory): enter your visitor’s first name and last name.
E-mail (mandatory): enter the visitor’s email address here. The visitor will receive a confirmation on this email address.
Company name: indicate for which organization your visitor works.
Date and time (mandatory): indicate the date and duration of the visit.
Workplace (mandatory): indicate at which desk/room the visit will take place. In this way, a location manager knows to which location in the building he/she can refer the visitor to and where the visitor will be in the building.
Phone: enter the visitor’s phone number here. The visitor can be reached via this number if necessary.
License plate: when your visitor comes by car, you have the option to state the license plate of the car. This field is not mandatory.
Remarks: fill in an additional explanation about the visit where necessary.
4. Then select the ‘Save’ button to save the visit.
After registering the visitor, he or she will receive an invitation at the indicated email address with all the details of the visit, along with the location data of the location. The visitor will also find a QR code in this invitation. He/she can use this to check in on arrival at the location. As the host of the visit (you have registered the visitor), you will receive a mobile notification when your visitor has arrived and checked in.
