Add zone
- Navigate to ‘Assets’ in the menu.
- Select ‘+ Add’ to create a new zone.
Read below for the definition of the various fields. The fields with an asterisk are required.
- Location*: select the location where the zone should be placed.
- Workspace*: select the floor (that you created earlier) where the zone should be placed.
- Tag code*: the tag code is a combination of the abbreviation of the location name and workplace number. Note: the tag code cannot contain dots. Example: AM001. AM comes from location name Amsterdam and 0.01 is the desk number.
- Name*: give your zone a name and number. Example: Zone 0.01
- Description: give your zone a description (if desired).
- Labels: to be able to filter on an extra level in the data, you can add a label to your zone. For example, if this asset falls within the Marketing department, you can label it ‘Marketing’.
- Notice text: add a ‘Notice text’ to your zone and give the user extra information or warning when making a reservation. This text will also appear in the confirmation email. Example: Make sure to leave your desk neat and clean after you have finished.
- External uid*: the external uid number is a combination of the tag code and Company code. Example: WIL is the Company code of organization Wilderman, AM001 is the tag code.
- Category/Type*: select which category the asset belongs to. Example: Desk or Meeting Room. This depends on the categories you have enabled in the tab under ‘Settings’.
- Seats*: indicate how many seats there are within the zone.
- Occupancy capacity*: this is the same as seats.
- Price: link a price to the zone (if desired).
- Include seats: This option is enabled by default. Choose whether the number of seats should be displayed in the app.
- Managed: if you check this option, this means that the asset cannot be reserved by the end user, but can be reserved by the Admin via the OfficeAdmin. This asset is still visible in the app and the end user can see the occupation of the workplace/space.
Example: a lecture hall is set to ‘Managed’ in the app, because it can’t be reserved directly by students, but teachers may. However the students can still see whether the lecture hall is occupied or not.
- Select stage*:
- Active: an asset is set to ‘Active’ by default. This makes it visible and bookable in the app.
- Visible: this stage should not be used. Always use the stage ‘Active’ for an available desk/room.
- Blocked: if you want to block a zone, set it to ‘Blocked’. Now the zone is grayed out and can’t be booked. It will also no longer appear in the list view (but it will in the map view).
- Hidden: if you want to completely hide a zone in the app, set it to ‘Hidden’. It is no longer displayed in the app, but still in the OfficeAdmin.
- Select type*: for a zone you should select ‘zone’
Determine location on the map
After filling in all fields, drag the green ball in the map to the correct place in the map. Indicate where the zone is located. Tip: if you create a zone for, for example, the entire floor, you can place the dot in the middle of the floor plan, but also, for example, near the stairwell or a central place on the floor.
