An asset can be anything you want to make available on a floor, such as a workspace, room, zone, shared car, or point of interest like a toilet, printer, or service desk. Before users can view or reserve these assets, they first need to be added to the floor plan of a workspace.
How to add desk/room (asset)
1. Navigate to ‘Assets’ in the menu.
2. Click ‘+ Add’ to create a new asset, and fill in the required fields.
Read the descriptions of the various fields below and complete the required information. Fields marked with an asterisk (*) are mandatory.
Filling in fields
- Location*: the location where the asset is situated.
- Workspace*: the floor on which the asset is located.
- Tag code*: a unique code identifying the asset. This is often a combination of the location abbreviation and workspace number (e.g., AMS001). Note: do not use periods in this code.
- Name*: the name of the asset. Example: Workspace 0.01 or Meeting Room 2.05.
- Description: an optional description of the asset. Useful for providing additional context or characteristics.
- Labels: add one or more labels for advanced filtering. Labels can indicate which department typically uses the asset (e.g., Marketing, HR, Executive) or what features the asset has (e.g., Sit/stand desk, Wheelchair accessible, Silent room).
- Notice text: provide additional instructions or important info for users during reservation. This message also appears in the confirmation email. Example: “Pick up the key at the service desk.”
- External UID*: a unique external identification code, usually a combination of the tag code and company name. Example: WIL-AM001 (WIL stands for the company Wilderman).
- Category*: select the appropriate category, e.g., Workspace, Meetingroom, or Lecture Hall. New categories can be added under Settings.
- Marker type: defines how the asset appears on the map. Choose from:
- Occupancy: default marker. Displays green, orange, or red based on current occupancy.
- Pie: ideal for zones. Shows occupancy as a percentage in a pie chart. Example: 10% available.
- Pack: ideal for zones. Displays occupancy as a fraction, showing both occupied and total spots. Example: 12/20 spots available.
- Poi_marker: for points of interest such as restrooms, stairs, or elevators. Only the category icon is shown; occupancy status is not visualized.
- Zone_marker: for zones. Shows only the total number of spots, without indicating occupancy. Example: 6 spots.
- Seats*: the number of seats available. If irrelevant, select ‘1’.
- Capacity*: the total capacity of the asset.
- Surface: the area in square meters. Used for analytics purposes.
- Price: the cost linked to the asset, if applicable.
- Show seats: choose whether to display the number of seats to end users.
- Managed: if enabled, the asset cannot be reserved by users with the role user or superuser, but only by admin users. The asset remains visible to all users, including its occupancy status. Example: A lecture hall is marked as ‘Managed’ because it may only be reserved by teachers (admin role), not students (user role). Students can still view whether it is occupied.
- Select stage*: choose the asset’s visibility/reservation status:
- Active: default. The asset is visible and bookable by all users.
- Blocked: the asset is blocked and cannot be booked. It appears gray on the map and does not show availability. It is hidden from list views, but still visible on the map.
- Hidden: the asset is completely hidden from the app for end users, but remains visible in OfficeAdmin.
- Select type*: define how the asset is reserved:
- Asset: default. Use for individual items like a workspace, meeting room, or shared vehicle.
- Zone: a zone (e.g., 16 seats) can be booked by multiple users simultaneously. Suitable for desk zones, parking zones, etc.
- Waypoint: for wayfinding-related items like printers, cafeterias, elevators, stairs, or service desks.
Determine location on the map
After completing all fields, drag the marker on the floor plan to the appropriate location of the asset.
