Add zone
- Navigate to ‘Assets’ in the menu.
- Select ‘+ Add’ to create a new zone.
Read the descriptions of the various fields below and complete the required information. Fields marked with an asterisk (*) are mandatory.
- Location*: select the previously created location where the zone should be added.
- Workspace*: select the previously created floor where the zone should be added.
- Tag code*: the tag code is a unique code for the asset, often a combination of the location name abbreviation and workspace number. For example, ‘AM001’, where AM represents the location Amsterdam and 0.01 is the workspace number. Note: the tag code cannot contain periods.
- Name*: provide a name for the zone and, if applicable, a number. Example: Zone Marketing.
- Description: optionally add a description.
- Labels: add a label to categorize or filter the zone on an additional level in the data. For example, if the asset belongs to the Marketing department, assign it the label Marketing.
- Notice text: add a short note to provide additional information to users when making a reservation. This text will also appear in the confirmation email. Example: Please ensure that the workspace is left clean and tidy after use.
- External uid*: the external UID is a unique code often formed by combining the tag code and the company code. Example: WIL (the company code for Wilderman) combined with AM001 (the tag code).
- Category*: select the category to which the asset belongs, such as workspace or meeting room. This depends on the categories activated in the ‘Settings’ tab.
- Marker type*: choose ‘Pie’ to display availability based on sessions or ‘Pack’ to display availability based on reservations. Both options show occupancy as a fraction, e.g. 16/20 seats. Choose ‘Zone_marker’ if you only want to indicate the total number of seats, e.g. 20 seats.
- Seats*: specify the total number of seats in the zone.
- Occupancy capacity*: specify the number of reservable seats within the zone. This may differ from the total number of seats.
- Price: optionally assign a price to the asset.
- Include seats: determine whether the number of seats should be visible in the app. This option is enabled by default.
- Managed: select this option if the asset can only be reserved by an Admin user. The asset remains visible in the app, and end-users can view occupancy but cannot make reservations.
Example: A lecture hall is set to ‘Managed’ in the app, as it cannot be directly reserved by students but can be booked by faculty members. Students can view the occupancy but cannot create reservations.
- Stage*:
- Active: the zone is visible and available for reservation in all apps.
- Blocked: the zone is displayed in gray and cannot be reserved. It will not appear in the list view but will still be visible in the map view.
- Hidden: the zone is no longer visible in the apps but remains accessible in OfficeAdmin.
- Type*: select ‘Zone’ to create a zone.
Determine location on the map
After completing all fields, drag the marker on the floor plan to the appropriate location of the zone. Tip: For zones that represent an entire floor, place the marker in the center of the floor plan or another central location.
