Anonymise
You can anonymise your data using the default organisation settings. Anonymising a reservation or check-in involves removing the original user’s details. The purpose of anonymisation is to maintain occupancy data without revealing the specific user’s location or name.
Anonymisation occurs every 24 hours (overnight). The original organiser (user) of a reservation or check-in is substituted with a standard ‘anonymous’ user. To replace the original user with an existing one, input ANONYMOUS_USER in the user’s UID and save the changes. If no specific user is selected, an ‘anonymous’ user will be automatically created.
90-Day Reconsideration Period
Please note: Anonymisation can be reversed by Officebooking for up to 90 days in the past. If you wish to undo the process, you should contact an Officebooking support team member via email (support@officebooking.net). Beyond this reconsideration period, all original user ID’s will be irreversibly removed. You can still access occupancy data, but it will no longer be linked to a specific user.
Activating Anonymisation
- Navigate to the menu and select ‘Settings.’
- From the drop-down menu, choose the ‘Archive’ tab.
- Specify the number of days after which you want the reservations and sessions (check-ins) to be anonymised. For instance, entering ’21’ will anonymise all reservations made within the past 21 days.
- To enable the feature, tick the box marked ‘Activated.’
- Finally, click ‘Save’ to apply your settings. Henceforth, all reservations created more than 21 days ago will be anonymised.
