Reservation rules allow you to manage booking limits and specific restrictions for different user groups. By default, all users in the system are part of the ‘Everyone’ user group. Rules configured for this group apply to all users.
If certain users need different rules. For example, because they belong to a specific department or have a different role. You can create an additional user group and configure separate rules for it.
Note: if a user belongs to multiple user groups, the rules from the most recently added group apply.
Available reservation restrictions

| Maximum days in advance for reservations | The maximum number of days a user can book in advance. |
| Maximum duration per reservation (in hours) | The maximum duration of a reservation. |
| Maximum number of reservations per week | The maximum number of reservations per week. |
| Maximum concurrent reservations | The maximum number of simultaneous or overlapping reservations. |
| Maximum concurrent sessions | The number of simultaneous or overlapping sessions. By default, this is set to 2 sessions. |
| Maximum reservation duration per timeslot | The maximum duration of a reservation within a specific time span. The total duration is the sum of all reservations. |
| Check in only for your own reservation or a reservation you are invited to | Restricts check-in to reservations made by the user themselves or reservations for which they have been invited. |
How to configure reservation rules
- Navigate to OfficeAdmin.
- Select User groups from the menu.
- Select the relevant user group.
- Scroll down to review all restrictions settings and configure the required limits.
- Select Save user group to save your changes.
Once configured, a reservation rule applies immediately. If a user tries to make a reservation that doesn’t meet one of the configured rules, the reservation cannot be made, and the user receives a message explaining why.
